Vhabily Access Global is a business registered in Nigeria.

When you engage Vhabily for visa-related services, relevant information and documents may be submitted to the appropriate embassy, immigration authority or other competent government authority.

4.3 Visa Application Centres

Where an embassy or immigration authority requires an application to be submitted through a visa application centre, we may provide the necessary information and documents through that centre.

4.4 Scholarship Organisations

Where you are applying for a scholarship, relevant information may be provided to the scholarship organisation or institution responsible for processing that application.

4.5 Translation Providers

Where translation is required as part of your requested service, relevant documents may be provided to a translation provider.

4.6 Authentication and Legalization Providers

Where authentication or legalization is required or requested, relevant documents may be provided to the appropriate service provider.

Authentication and legalization services are currently offered specifically to Nigerian clients where applicable.

Translation services may be provided to clients generally where required.

We do not routinely provide client documents to accommodation providers.

We will not knowingly send your personal information to an unrelated third party or use your documents for a process that is unrelated to the service you have requested.

These services may process or store information depending on their role in our operations.

Vhabily does not use WordPress as a client information database.

Canva is used primarily for document and design editing and is not used as Vhabily’s client database.

Where document-processing tools are used, they are used for the relevant document-processing purpose.

7. PAYMENT INFORMATION

Payments to Vhabily may be made through our designated Nigerian bank account or through Flutterwave.

Where payment is made through Flutterwave, payment processing is handled through Flutterwave’s payment infrastructure.

Vhabily does not ordinarily receive or store your full card details or banking credentials processed through Flutterwave.

We may retain transaction-related information including:

  • Amount paid
  • Date of payment
  • Transaction/reference number
  • Service purchased
  • Payment status
  • Relevant payment-plan information

This information may be retained for accounting, financial management, client-service, record-keeping and legal purposes.

We do not want to continue marketing communications to people who are not interested in receiving them.

Vhabily staff may currently use personal computers for work-related activities. Where this occurs, staff and contractors remain subject to Vhabily’s confidentiality obligations and requirements regarding the protection and disposal of client information.

Although we take reasonable steps to protect personal information, no method of transmitting or storing information can be guaranteed to be completely secure.

11. WHO CAN ACCESS YOUR INFORMATION?

Access to personal information is based on the responsibilities of the relevant team member.

Founder and Management

Founder and management personnel may access client information necessary to oversee and manage Vhabily’s operations.

Sales and Client Management

Sales and client-management personnel may access information relating to clients they manage because their responsibilities include ongoing communication and management of the client relationship.

Admissions Team

Admissions personnel may access information necessary to understand and process a client’s admission.

Visa Team

Visa personnel may access information necessary to handle a client’s visa-related process.

Finance Team

Finance personnel generally have access only to financial information relevant to the client’s relationship with Vhabily, including payment status and payment plans.

Content and Social Media Personnel

Content or social media personnel may receive specific client materials, such as an admission letter, where necessary for an approved content or marketing purpose.

Where client materials are used for public-facing content, Vhabily will handle such use in accordance with applicable permissions and privacy requirements.

Other Personnel

Other team members do not routinely have access to client information unless such access is necessary for their specific responsibilities.

12. CONFIDENTIALITY

Staff and contractors who have access to client information are required to comply with confidentiality obligations.

Personnel are expected to use client information only for legitimate business purposes connected to their responsibilities.

When a staff member or contractor leaves Vhabily or their engagement ends:

  • Their access to Vhabily systems is revoked.
  • Their company accounts are deleted.
  • They are required to comply with their continuing confidentiality obligations.
  • Vhabily requires them to dispose of or delete Vhabily/client information in their possession where applicable.

13. RETENTION OF PERSONAL INFORMATION

Vhabily may retain personal information for up to two (2) years following the client’s last meaningful interaction with Vhabily.

We retain information during this period because clients may return to Vhabily for future applications or services and because an appropriate client history can be important to the continued provision of services.

Retention may also be necessary to:

  • Support returning clients
  • Assist with future applications or services
  • Maintain client history
  • Address potential disputes
  • Maintain accounting and financial records
  • Establish, exercise or defend legal claims
  • Maintain appropriate business records
  • Address complaints or enquiries

At the end of the applicable two-year period, Vhabily will delete or securely dispose of retained personal information, subject to information that we are legally required or otherwise permitted to retain for a longer period.

Where a client has a subsequent meaningful interaction with Vhabily, the relevant retention period may be calculated from that more recent interaction.

15. STUDENTS UNDER 18

Vhabily works with students who may be under the age of 18.

A student under 18 may contact Vhabily to make an enquiry, and we may respond to that enquiry with general information.

However, Vhabily will not provide paid services, process an application, or commence a client engagement for a person under 18 without the knowledge and consent of their parent or legal guardian.

Where a student under 18 wishes to use Vhabily’s services, we may require the parent or legal guardian to:

  • Contact Vhabily directly; or
  • Provide appropriate consent before services commence.

Vhabily will not knowingly use a minor’s personal information for direct marketing or promotional purposes without appropriate parental or legal-guardian consent.
